01 — Getting Started
What is EletvaAi and what does Aria do?

EletvaAi builds Aria, an AI phone receptionist built specifically for dental clinics. Aria answers every patient call 24/7, books, cancels, and reschedules appointments in your Google Calendar, sends SMS confirmations, and logs every interaction to your dashboard — without any human involvement.

How long does setup take?

Basic setup: 15 minutes. Fill out your clinic details, connect your Google Calendar, and forward your phone number. No hardware, no IT team required.

PMS integration (all plans): Our team contacts you within 24 hours of signup to schedule a setup call. The Aria Dental PMS Connector installs via remote screen-share in 5–15 minutes. Most clinics are fully live — calls answered, PMS syncing — within 1–2 business days.

Do I need to change my phone number?

No. You keep your existing number. You simply set up a call forward (e.g., forward after 2 rings, or always forward) to Aria's number. Patients call the same number they always have. You can disable the forward anytime to handle calls yourself.

Is there a free trial?

Yes. All plans include a 14-day free trial with full access. No credit card required to start. If you're not happy after 14 days, just cancel — no questions asked.

What do I need to get started?

Just three things: 1) A Google Calendar — or create one free in 2 minutes. 2) A phone you can set forwarding on (any carrier supports this). 3) 15 minutes to fill out your clinic details. We handle everything else.

Does Aria handle new patients, or just existing ones?

Both. When a new patient calls, Aria collects their name, phone number, date of birth, and any other details your practice requires. The information is automatically created as a new patient record in your PMS (Dentrix, Open Dental, Eaglesoft, etc.), and the appointment is booked under that record. By the time your team arrives in the morning, the patient is already in your system, the appointment is on the schedule, and the call notes are attached — no manual intake needed.

Does Aria recognize returning patients?

Yes. When a patient calls, Aria looks them up by phone number and instantly recognizes them — even if they haven't called in years. The greeting feels personal: "Hi Sarah, welcome back. I see your last visit was October. What can I help you with today?" On Growth and Pro plans, Aria can also reference their insurance and last visit details during the conversation.

02 — How Aria Works
What can Aria actually do on a call?

Aria can: book new appointments, check availability, reschedule existing ones, cancel appointments, send SMS confirmations to patients and the clinic, answer questions about hours, services, insurance, and more. She handles natural, multi-turn conversations fluently.

How does Aria prevent double bookings?

Before booking any slot, Aria queries your Google Calendar in real time to check for existing events. If a slot is taken, she tells the patient and offers alternative times. This check happens every time — no race conditions.

What happens if a patient asks something Aria can't answer?

Aria gracefully handles this by saying something like "I'll make sure the team follows up with you about that." She never guesses on medical questions and always keeps the conversation professional. You'll see the question logged in your dashboard.

Does Aria sound robotic?

No. Aria is powered by GPT-4.1 with a warm, professional voice. In blind tests, patients consistently describe her as "very helpful" and "professional." Many don't realize it's AI until told. Call the demo line to hear for yourself.

How does Aria know about my clinic's services?

During setup, you provide your clinic's services, hours, insurance accepted, and any special instructions. This information is loaded into Aria's knowledge base so she can answer patient questions accurately and contextually.

Can Aria handle multiple calls at the same time?

Yes. Aria is a cloud AI — she can handle unlimited simultaneous calls. No busy signal, no hold time, no matter how many patients call at once.

What languages does Aria speak?

Aria includes English and Spanish on all plans at no extra cost. She detects the patient's language within the first sentence and switches automatically. Additional languages (Hindi, French, Mandarin, and more) are available via the Multi-Language add-on at $19/language/month.

What happens after hours or on weekends?

This is where Aria earns her keep most. She answers every call 24/7 — 3am, Sunday, holidays. If a patient calls at midnight to book a cleaning, Aria books it directly into your calendar. You wake up to a full schedule.

How does Aria handle dental emergencies?

Aria identifies emergency situations within the first sentences of a call (severe pain, swelling, trauma, knocked-out tooth, etc.). When detected, Aria does three things instantly:

  1. Sends an alert SMS to your emergency contact number (configured in Settings → Emergency Contacts) with the patient's name, phone, and emergency description
  2. Transfers the call to your designated emergency triage number so a real person can speak with the patient immediately
  3. Logs the call as an emergency event in your dashboard for follow-up tracking

Aria never makes medical decisions — it routes the patient to a qualified human as fast as possible.

Can Aria discuss treatment plans with patients?

On Pro plan, yes. Aria can access outstanding treatment recommendations from your PMS and proactively reach out to patients who haven't booked recommended work. For example, if Dr. Smith recommended a crown three months ago and the patient hasn't scheduled it, Aria can call them: "I see Dr. Smith recommended a crown on #14 — would you like to get that scheduled?" The conversation feels natural because Aria has real context, not a generic script. This is handled by Nova, the outbound AI agent included on Pro.

Can Aria make outbound calls to patients?

Yes — on Pro plan. Nova handles outbound: appointment reminders (24hr before), post-treatment follow-ups (48hr after procedures), recall campaigns for patients due for cleanings, and treatment plan follow-ups. Rex (also Pro) handles prescription refill requests automatically. Basic and Growth plans are inbound-only.

What happens if Aria can't reach the patient or there's a connection issue?

Aria is cloud-hosted with 99.9% uptime — connection issues are rare. If a call drops mid-conversation, the patient can call back and Aria picks up immediately. If Aria can't answer a question (medical advice, complex billing, specific complaints), she tells the patient: "I'll have our team follow up with you directly," and logs the topic to your dashboard with the patient's contact details. You never lose context on what the patient needed.

What's the difference between Basic, Growth, and Pro plans?

Basic ($199/mo · 100 calls): Inbound booking, cancellation, rescheduling, emergency triage, post-call SMS confirmations, English + Spanish, and real-time PMS sync (Dentrix, Eaglesoft, Open Dental, 27+ systems). Best for solo practices.

Growth ($499/mo · 500 calls): Everything in Basic, plus WhatsApp messaging, pre-screening (insurance + emergency questions), hygienist booking, review collection, and recall campaigns. Supports up to 2 doctors + 3 hygienists, 1 location.

Pro ($1,199/mo · 2,000 calls): Everything in Growth, plus Nova (outbound calls for treatment follow-ups, reminders, and recalls), Rex (handles prescription refill requests automatically), up to 5 doctors/hygienists per location, up to 3 locations, VIP patient routing, and API/Webhook access. Best for group practices and DSOs.

How much does EletvaAi cost?

Plans start at $199/month for the Basic plan (up to 100 calls). Growth is $499/month (up to 500 calls), and Pro is $1,199/month (up to 2,000 calls). Annual plans save 20%. See the full pricing page.

What happens if I exceed my call limit?

On Basic and Growth plans, additional calls are available in blocks of 50 for $50. We'll notify you at 80% usage so you can top up before you hit the cap. You're never cut off mid-month.

Are there setup fees or contracts?

No setup fees. No contracts. Month-to-month billing, cancel anytime. Annual plans are paid upfront and save 20%. We don't believe in locking practices in — if Aria isn't working for you, you should be free to leave. (That said, 95% of practices renew. The value compounds over time.)

Do you offer discounts for multiple locations?

Yes. Pro plan supports up to 3 locations. For enterprise (4+ locations), contact us for custom pricing. We offer meaningful volume discounts for DSO and group practices.

What's the ROI? Is it worth it?

The average dental clinic misses 15–30% of calls after hours. At an average appointment value of $300 and just 10 missed calls/month — that's $3,000/month in lost revenue. EletvaAi starts at $199/month. The math is straightforward.

How are calls counted toward my plan limit?

We only count calls that are real conversations — where Aria actually engages with a patient for at least 20 seconds.

What counts as a billable call:

  • Patient calls and Aria answers (≥ 20 seconds)
  • Calls where Aria attempts to book, cancel, or reschedule
  • Calls where Aria handles emergencies or routes to clinic staff
  • Calls with patient pre-screening or insurance questions

What does NOT count:

  • Hangups within 20 seconds (wrong numbers, accidental dials)
  • Robocalls, telemarketers, spam calls dropped quickly
  • Failed connections or network errors
  • Test calls you make from your dashboard
  • Calls where the patient hangs up before Aria speaks

Where to see your count: Your dashboard shows real-time usage under the "Usage" section. Each call entry shows the duration so you can verify what was counted.

Plan limits:

  • Basic: 100 calls/month
  • Growth: 500 calls/month
  • Pro: 2,000 calls/month

What happens at the limit? We notify you at 80% and 100% usage. After 100%, calls continue using top-up credits ($50 = 50 calls) automatically — your patients are never blocked.

04 — Technical
What AI model powers Aria?

Aria is powered by GPT-4.1 via the Vapi voice AI platform, with real-time tool calls to Google Calendar and Twilio SMS. The system is built for reliability, with 99.9% uptime SLA.

Is my patient data secure?

All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Call logs are stored in your private, isolated database — only accessible to you. We sign Business Associate Agreements (BAAs) with all subprocessors handling patient data: Twilio (voice + SMS), the Aria Dental PMS Connector, and our data storage layer. We do not sell or share patient data. HIPAA-compliant architecture on all paid plans. Customer-facing BAA available on request — email hello@ariadental.co.

Is EletvaAi HIPAA compliant?

Aria handles scheduling information only — patient names, contact details, and appointment preferences. We do not store medical records, diagnoses, or treatment information. All data is encrypted in transit (TLS 1.3) and at rest. We provide a signed Business Associate Agreement (BAA) at no cost upon request — email hello@ariadental.co.

Do I need a specific phone system (VoIP, PBX)?

No. Aria works with any phone system — landlines, VoIP, cell phones. As long as your carrier supports call forwarding (virtually all do), Aria works. No special hardware or software required at the clinic.

What calendar systems does Aria support?

Currently Google Calendar (personal and Workspace). Microsoft Outlook / Office 365 support is on the roadmap for Q3 2026. Most dental clinics already use Google Calendar or can set one up free.

What if the internet goes down at my clinic?

Aria runs entirely in the cloud — your clinic's internet connection is not required for Aria to function. She'll continue answering calls and booking appointments even if your office Wi-Fi is down.

Can I access call recordings?

Yes. All calls are recorded (with patient consent disclosure). Recordings and full transcripts are available in your dashboard for 90 days on Basic, 1 year on Growth/Pro.

05 — Integrations
Why does Aria use Google Calendar AND my PMS — why not just the PMS?

Speed and reliability. PMS APIs can be slow — 500ms to 2+ seconds per call — and dental practices can't afford awkward pauses during a phone call. Google Calendar gives Aria instant availability checks so patients hear booking confirmation in real time, with no "let me check" delays.

In the background, the Aria Dental PMS Connector writes the appointment to your PMS automatically. If your PMS is temporarily slow or syncing, calls still work perfectly. Your staff sees everything in their normal PMS workflow — no new system to learn, nothing changes in how they work.

Does Aria work with my practice management software?

Yes. Aria connects to 27+ practice management systems including Dentrix, Dentrix Enterprise, Eaglesoft, Open Dental, SoftDent, PracticeWorks, ABELDent, ClearDent, Dolphin Management, OrthoTrac, WinOMS, SOE (EXACT), DSN Dental, DentalVision, Mogo, Officemate, and more. PMS sync is included on all plans. Aria syncs appointments in real time — under 30 seconds from end of call to record in your system.

Can Aria send appointment reminders?

Yes — and included on Growth and Pro plans at no extra cost. After every booking, patients receive:

  • Instant SMS confirmation immediately after the call (all plans)
  • 24-hour reminder via SMS the day before their appointment (Growth + Pro)
  • 2-hour reminder via SMS the day of their appointment (Growth + Pro)

On Pro plan, reminders are also sent via WhatsApp for patients who prefer that channel. Basic plan includes the post-call confirmation SMS only.

Can I connect multiple phone numbers?

Yes. Each clinic location can have its own forwarding number. Growth supports 1 location, Pro supports up to 3. The dashboard shows call logs filtered by clinic so you always know which location the call came from.

Is there an API for custom integrations?

Yes. Pro plan includes Webhook/API access. Every call event (booking, cancellation, reschedule) fires a webhook with full event data in JSON. You can connect this to any PMS, CRM, or workflow tool using Zapier, Make.com, or direct HTTP.

06 — PMS Integration
How long does PMS setup take?

After signup on Growth or Pro plan, our team contacts you within 24 hours to schedule a setup call. The Aria Dental PMS Connector installs via remote screen-share in 5–15 minutes. Most clinics are fully connected — PMS syncing, calls live — within 1–2 business days. You don't need any technical knowledge; we handle the configuration end-to-end.

How fast does Aria sync appointments to my PMS?

Under 30 seconds from end-of-call to appointment appearing in your PMS. Aria writes the booking back in real time — by the time the patient hangs up, it's already in your system.

Do I need to replace my existing PMS?

No. Aria works alongside your existing PMS — it does not replace it. We integrate with what you have. Your staff continues to use the same software they know.

What happens if my PMS isn't on the supported list?

Contact us. Our integration partner regularly adds new PMS support. We'll assess options for your specific system. In the meantime, Aria works on all plans using Google Calendar — your staff simply imports confirmed bookings into the PMS manually.

Can Aria handle prescription refill requests?

Yes — on Pro plan. Rex, the prescription-handling AI agent, processes refill requests automatically during inbound calls. Rex verifies the patient's identity, confirms the medication and prescribing doctor, and routes the request to your team via SMS and dashboard alert. Patients get a clear timeline rather than sitting on hold or waiting for a callback.

07 — Support
What kind of support do you offer?

Basic: Email support (response within 24 hours). Growth: Priority email + live chat. Pro: Dedicated Slack channel and phone support. All plans include onboarding assistance and video walkthroughs.

What's your uptime SLA?

We guarantee 99.9% uptime on all paid plans. That's less than 9 hours of downtime per year. Historical uptime has been 99.97%. If we fall below SLA, you receive a prorated credit for that month.

Can I pause my subscription?

Yes. You can pause your subscription for up to 2 months per year (available on Growth and Pro). During a pause, you're not billed and Aria is offline — calls ring through to your clinic as normal.

How do I cancel?

Cancel anytime from your dashboard settings with one click. No cancellation fee. Your subscription stays active until the end of the billing period, then stops. We'll export all your data in CSV format on request.
