Call Forwarding Setup

You keep your clinic's phone number. Patients call the same number they always have. You just route those calls to Aria — and you can turn it off any time.

Which setup do you want?

Safety Net

Forward after ringing

Your front desk gets first attempt. Aria picks up if the call isn't answered after 2–3 rings. Best for clinics that want a backup, not a replacement.

Time-based routing

Aria only handles calls outside your office hours. During business hours, calls ring your desk normally. Requires a VoIP system or phone app with scheduling.

Every call goes straight to Aria. Use this during short-staffed periods or if you want Aria to handle all inbound calls, all the time.

Traditional Lines

Landline & wireless carriers

AT&T (wireless & landline)

Unconditional (Full Handoff): Dial *72 then your Aria number, press Call. You'll hear a confirmation tone. To disable: dial *73.

No-answer only (Safety Net): Dial *71 then your Aria number, press Call. Calls ring your phone first; Aria picks up if you don't answer. To disable: dial *73.

After-hours: AT&T wireless doesn't support time-based call forwarding natively. Use a VoIP number in front of your landline, or ask AT&T Business about Advanced Call Management add-ons.

Note: Code availability varies by plan. If *72 doesn't work, log in to myAT&T → Account → Manage Features → Call Forwarding.

T-Mobile (wireless)

Unconditional (Full Handoff): Dial **21*[Aria number]# and press Call. To disable: dial ##21#.

No-answer only (Safety Net): Dial **61*[Aria number]# and press Call. To disable: dial ##61#.

Busy + no-answer: Dial **004*[Aria number]# to forward when busy or unanswered. Disable with ##004#.

Replace [Aria number] with your full Aria number including country code, e.g. +15551234567.

Verizon (wireless & landline)

Unconditional (Full Handoff): Dial *72, wait for tone, dial your Aria number, press #. To disable: dial *73.

No-answer only (Safety Net): Dial *71, wait for tone, dial your Aria number, press #. To disable: dial *73.

Via My Verizon app: Account → Manage Device → Call Forwarding. Toggle on, enter Aria number. This is the easiest method and avoids any code issues.

Verizon Business landline: Same codes, or manage through the Business Center portal at business.verizon.com.

Spectrum Business

Via portal (recommended): Log in to business.spectrum.com → Voice → Call Features → Call Forwarding. Enter your Aria number and choose Always or Selective.

Via phone code: Dial *72 then your Aria number. Listen for two short beeps confirming activation. To disable: dial *73.

No-answer only: Dial *92 then your Aria number to forward when unanswered. Disable with *93.

Spectrum Business VoIP lines support time-based scheduling through the portal under "Selective Call Forwarding."

Comcast Business

Via Business VoiceEdge portal: Log in at businessvoiceedge.com → Settings → Call Forwarding. Comcast Business strongly prefers portal management over codes.

Via phone code: Dial *72 then your Aria number, press #. Confirmation beep indicates success. Disable with *73.

After-hours routing: Business VoiceEdge supports "Simultaneous Ring" and "Time-of-Day Routing" — configure in the portal to send calls to Aria outside your business hours automatically.

If you use Comcast Business phone app (Be Anywhere), forwarding is managed inside the app under Settings → Call Forwarding.

VoIP Systems

Cloud phone & VoIP platforms

RingCentral

Admin portal: Log in at app.ringcentral.com → Admin Console → Phone System → Groups (or the specific extension) → Call Handling & Forwarding.

For Safety Net: Under "If nobody answers," select "Forward to external number" and enter your Aria number. Set ring time to 15–20 seconds (2–3 rings).

For After-Hours: In Call Handling, set business hours. Under "After Hours," select "Forward to external number" and enter your Aria number.

For Full Handoff: Set the main number's forwarding to "Always forward" → your Aria number. You can revert any time in the same panel.

Ooma Office

Admin portal: Log in at office.ooma.com → Extensions → select extension → Voicemail & Forwarding tab.

For Safety Net: Enable "Forward when unanswered after [N] rings" and enter your Aria number.

For After-Hours: Ooma's "Business Hours" setting (under Company Settings → Business Hours) lets you set a default after-hours route. Point it to your Aria number.

Virtual Receptionist: If you use Ooma's virtual receptionist, set the after-hours option to "Transfer to external number" and enter your Aria number.

Vonage Business

Admin portal: Log in at business.vonage.com → Admin → Numbers → select your number → Call Forwarding.

For Safety Net: Set "Forward unanswered calls" to your Aria number with a 20-second timeout.

For After-Hours: Use Vonage's "Business Hours" rules. Under each number, define operating hours and set out-of-hours forwarding to your Aria number.

Via Vonage Business app: Settings → Call Forwarding → toggle on, enter Aria number. Changes apply in real time.

Other VoIP / phone apps (Google Voice, Nextiva, 8x8, Dialpad)

Every VoIP system supports call forwarding — the location just varies. Look for one of these in your admin portal:

  • Call Handling or Call Routing
  • Forwarding Rules or Forward Calls
  • Business Hours → After-Hours destination
  • Auto-Attendant → After-Hours action

Enter your Aria number as the destination. If you can't find it, search your provider's help docs for "call forwarding to external number" — every major VoIP platform supports it.

Turning It Off

Disable forwarding any time

You're always in control. Disable forwarding in seconds — your line goes back to normal immediately.

Verify It Works

Testing your setup

  1. Set up forwarding using the steps above for your carrier or VoIP system.

  2. From a different phone (not the clinic line), call your clinic's normal number.

  3. You should hear Aria answer — not voicemail, not a ring. If you hear Aria say "Thank you for calling [your clinic name]…" — you're live.

  4. Ask Aria to book an appointment. Check your dashboard at ariadental.co/dashboard — the call should appear in your logs within seconds.

  5. If you set up Safety Net mode, let it ring 3+ times from a different phone without answering — Aria should pick up after the no-answer timeout.

  6. If anything sounds wrong or Aria doesn't answer, email hello@ariadental.co — we'll diagnose it with you.

Common Questions

Questions about forwarding

Will patients know they've been forwarded to an AI?

Aria answers as your clinic — "Thank you for calling [Clinic Name]…" — not as a generic AI service. Most patients have no idea they're speaking to an AI unless you tell them. Aria's voice is natural, conversational, and specifically trained on dental scenarios.

Do I need to change my existing phone number?

No. Patients always call your existing clinic number. You're just telling that number "if this call isn't answered, send it to Aria" — or "always send calls to Aria." Your number stays exactly the same on your website, Google listing, and patient records.

Does forwarding cost extra with my carrier?

Call forwarding is included in virtually all business phone plans at no extra charge. A small number of older consumer cell plans count forwarded calls against minutes — check your plan if you're on a limited-minutes plan. For VoIP and business lines, forwarding is always free.

What if my front desk picks up before Aria does?

In Safety Net mode, if your team picks up first, they handle the call normally — Aria never enters the picture. Aria only activates when the call reaches the forwarding trigger (no answer, busy, or after-hours, depending on your setup). There's no double-answering or interference.

Can I switch between modes without calling my carrier?

Yes — you can update forwarding yourself any time using the codes above or your carrier's app, usually in under 30 seconds. No support call required. Many VoIP systems (RingCentral, Vonage, Ooma) also have mobile apps where you can toggle forwarding modes on the fly.
