Terms of Service

Please read these Terms carefully before using Aria Dental. By signing up or using our service, you agree to these Terms. If you disagree, please do not use Aria Dental.

1. What Is Aria Dental

Aria Dental is an AI-powered voice receptionist platform for dental clinics, operated by EletvaAi ("we", "us", "our"). Our service enables dental clinics ("Clinic", "you") to automate incoming patient calls, appointment bookings, cancellations, rescheduling, and related communications.

Aria Dental includes three AI agents:

  • Aria — AI voice receptionist that handles inbound patient calls 24/7.
  • Nova (Pro plan) — AI follow-up agent that handles outbound reminder calls and recall campaigns.
  • Rex (Pro plan) — AI re-engagement specialist for patient reactivation.

2. Eligibility

Aria Dental is designed for licensed dental practices and healthcare professionals. By signing up, you confirm that:

  • You operate a legitimate dental clinic or healthcare practice.
  • You are authorized to enter into this agreement on behalf of your clinic.
  • You are 18 years or older.
  • Your use complies with all applicable laws in your jurisdiction.

3. Subscription Plans & Billing

Aria Dental offers three subscription plans:

  • Basic Plan — $199/month. Includes 100 calls/month, 1 doctor, core booking, cancellation, and rescheduling features.
  • Growth Plan — $499/month. Includes 500 calls/month, up to 5 doctors and hygienists, pre-screening, Nova follow-up agent, recall campaigns.
  • Pro Plan — $1,199/month. Includes 2,000 calls/month, Nova and Rex agents, multi-location support, treatment follow-up, webchat widget.

All plans include a 14-day free trial. No credit card is required during the trial. After the trial, billing begins if you choose to continue. Subscriptions auto-renew monthly unless cancelled.

Additional call volume is available at $50 per 50 calls. Annual plans save approximately 2 months of fees.

We reserve the right to change pricing with 30 days notice to your registered email address.

4. Add-Ons

Optional add-ons are available at additional monthly charges:

  • Celebrations Suite: $39/month
  • Smart Marketing Kit: $19/month
  • Patient Reactivation: $39/month
  • Referral Program: $19/month
  • Multi-Language Support: $19/month per language
  • VIP Membership Manager: $49/month

Add-ons can be enabled or disabled at any time from your dashboard. Charges stop at the next billing cycle after disabling.

5. Free Trial & Cancellation

You may cancel your subscription at any time from your dashboard or by emailing legal@ariadental.co. Upon cancellation:

  • Your service remains active until the end of the current billing period.
  • No refunds are provided for partial months.
  • Your data is retained for 90 days after cancellation, then permanently deleted.
  • You may export your data at any time before deletion.
  • A 14-day money-back guarantee applies to your first payment if Aria fails to handle calls correctly.

6. Acceptable Use

You agree to use Aria Dental only for legitimate dental clinic operations. You must NOT:

  • Use the service for any illegal purpose or to violate any applicable laws.
  • Misrepresent Aria as a human receptionist when directly and sincerely asked by a patient.
  • Collect patient information beyond what is needed for appointment scheduling.
  • Use the service to harass, spam, or harm patients.
  • Attempt to reverse engineer, copy, or resell our technology.
  • Share your account credentials with unauthorized parties.
  • Use Aria for medical diagnosis, prescription advice, or regulated healthcare activities.

7. AI Disclosure

Aria Dental uses artificial intelligence to handle patient calls. You are responsible for informing patients that calls may be handled by an AI system, in accordance with applicable laws in your jurisdiction (including California AB 302 and similar statutes).

Aria is configured to respond honestly when a patient directly and sincerely asks whether they are speaking to a human or AI.

8. Patient Data & HIPAA

Aria Dental processes scheduling data only — appointment dates, times, patient names, phone numbers, and date of birth (for identification). We do not store or process Protected Health Information (PHI) such as medical records, diagnoses, or treatment history.

You remain responsible for ensuring your use of Aria Dental complies with HIPAA and any other applicable healthcare privacy laws. A Business Associate Agreement (BAA) is available upon request for covered entities that require one.

Note: This is not legal advice. Please consult a qualified attorney for HIPAA-specific compliance requirements applicable to your practice.

9. Data Ownership

You own all patient and clinic data entered into Aria Dental. We process this data solely to provide our services to you. We will never sell your data to third parties.

10. Service Availability & SLA

We target 99.9% uptime. Scheduled maintenance is performed during off-peak hours with advance notice where possible. We are not liable for losses caused by service downtime, third-party outages, or circumstances beyond our reasonable control. Credits may be applied for downtime exceeding the SLA threshold in any calendar month.

11. Intellectual Property

All technology, software, AI prompts, designs, and content within Aria Dental are owned by EletvaAi. You are granted a limited, non-exclusive, non-transferable license to use the service during your active subscription period only.

12. Limitation of Liability

To the maximum extent permitted by law, EletvaAi shall not be liable for:

  • Indirect, incidental, or consequential damages.
  • Loss of revenue or patients resulting from service issues.
  • Errors in AI responses or appointment bookings.
  • Third-party service failures (Vapi, Twilio, Google Calendar, Airtable).
  • Missed appointments caused by patient-side issues or carrier delays.

Our total liability is limited to the amount you paid in the 30 days prior to the claim.

13. Third-Party Services

Aria Dental integrates with third-party services including: Vapi (voice AI), Twilio (SMS/calls), Google Calendar (scheduling), Airtable (data storage), Railway (cloud hosting), Resend (transactional email), and Cloudflare (security/CDN). Each provider's own terms and privacy policies also apply to data processed through their platforms.

14. Changes to Terms

We may update these Terms at any time. We will notify you by email at least 14 days before material changes take effect. Continued use of Aria Dental after changes constitutes acceptance of the updated Terms.

15. Governing Law

These Terms are governed by the laws of India. Any disputes shall be resolved through binding arbitration in accordance with Indian law. For US-based clinics, we also comply with applicable US federal and state regulations.
